TRAVEL POLICY

Please read through the travel policy carefully:

  • Please note, due to the policies of most major carriers, the following will apply:
    1. If you are visiting Antigua and Barbuda, a government-issued passport must be valid for at least six months from the date you arrive.
    2. Before entering Antigua and Barbuda, it is essential to be in possession of either a return or onward ticket to a country to which you have a legal right of entry.
  • All tickets issued will reflect a non-refundable contracted rate.
  • All tickets now require changes to be made before the originating flight departs. If you need to make a change or cancel a reservation after the flight has departed, the airline may require you to purchase another ticket. This will be at your own expense.
  • Some airlines now charge for checked baggage. Please check with your individual carrier for details on their policy. If a fee for checked bag(s) is charged, this fee may be placed on your expense report as per Company policy.

BAGGAGE ALLOWANCES

Generally, passengers are allowed one carry-on bag and one small personal item, such as a purse or backpack. Remember, your carry-on bag must fit under your seat or in the overhead compartment on the airplane (federal regulation). As you may already be aware, the government has issued new security regulations at all airports. Some of these rules vary according to airport and carrier. Please note that curbside check-in has been eliminated at some airports. Depending upon current conditions, this can change on a daily basis. Carry-on baggage limits also vary. Please verify directly with your specific airline to confirm potential additional charges related to checked baggage, excess baggage weight, and sizes that are allowed.

FLIGHT SECURITY AT THE AIRPORT

Security Regulations and Procedures
The government has regulations at all airports. Some of these rules vary according to airport and carrier. Please note that curbside check-in has been eliminated at some airports. Depending on current conditions, this can change on a daily basis. Carry-on baggage limits also vary. You may take only one carry-on plus a purse, briefcase or laptop computer.

Security Requirements at the Airport
Under the Secure Flight program, passengers will be required to provide your name, date of birth and gender. Your confirmed carrier will send the information you provide to TSA who will match it against terrorist watch lists. Please note that boarding passes may not always display the exact information you provided when booking your travel. This will not affect you when traveling. The name you provide when booking your travel is used to perform watch list matching before a boarding pass is ever issued.   • Travelers may carry through security checkpoints travel-size toiletries (3 ounces or less) that fit comfortably in ONE, QUART-SIZE, clear plastic, zip-top bag.
  • After clearing security, travelers can bring beverages and other items purchased in the secure boarding area on-board aircraft.
  • Loose lithium batteries are not permitted in checked baggage.

At the checkpoint travelers will be asked to remove the zip-top bag of liquids and place it in a bin or on the conveyor belt. X-raying separately will allow TSA security officers to more easily examine the declared items.

Travel Planning Precautions Before Arriving at the Airport

Check the Status of Your Flight
Remember to confirm your flight status before heading to the airport. Please contact your airline for notification of changes on your gate information, arrival and departure times or baggage claim locations. Notification can be received via your choice of phone, text or e-mail.

Allow Plenty of Extra Time at the Airport
Due to heightened security measures, you’ll need to allow more time for check-in, security screening and boarding. Please plan to arrive at the airport 3 hours prior to scheduled departure flights.

PASSPORT INFORMATION

PASSPORTS ARE REQUIRED!

Important Note: Regardless of age, all award trip attendees require a passport, including newborns.

  • ALL persons, including U.S. citizens, traveling by air between the United States and Canada, Mexico, Central and South America, the Caribbean, and Bermuda will be required to present a valid passport, Air NEXUS card, or U.S. Coast Guard Merchant Mariner Document, or an Alien Registration Card, Form I-551, if applicable.
Travel Documents for U.S. Citizens

Under the proposed implementation plan, the following documents will be acceptable to fulfill document requirements:

  • U.S. Passport: U.S. citizens may present a valid U.S. passport when traveling via air between the United States and Canada, Mexico, Central and South America, the Caribbean, and Bermuda, and may also use a U.S. passport when traveling via sea and land borders (including ferry crossings).

COVID-19 REQUIREMENTS

Per company policy, all attendees must have a negative polymerase chain reaction (PCR) test taken no more than 72 hours prior to departure. This is a Pfizer requirement. You do not have to submit your results. It is also recommended that attendees take an at-home antigen test prior to departing for the airport.

A Pfizer-provided antigen test will be taken by all attendees on the main arrival day, before the group welcome reception.
